About us:
The Dalla Lana School of Public Health (DLSPH) is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which plays a critical role in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $76 million in research funding per year, including more than $31.5 million held at DLSPH, the School contributes to improving population health and health policy and health systems through discoveries and innovation in data science and AI, maternal, child and reproductive health, climate change [response], implementation and improvement sciences, preventable disease through vaccines and prevention through [and] wellness such as with diabetes, comparative health policy, sustainable and equitable health systems, global and Indigenous health, among many other areas.
Your Opportunity
As Grad Assistant, your strong organizational skills will enable you to be proactive in your support of the day-to-day needs of students within the DLSPH programs. You will be central in ensuring the effective and efficient operation of a large and complex portfolio. Specifically, you will support the Graduate Office in the annual preparation of the academic timetables of course offerings and liaising with the office of the Associate Dean, Public Health Studies (PHS). Working with School leadership, Program Directors, and Divisional Administrators, you will organize orientation and graduation events. You will also assist with online degree program applications, moving applications through the online system and assessing selected applicants for admission eligibility.
Further, you will communicate with instructors to determine course details (schedules, enrolment, classroom needs); processing room booking requests through our centralized system; posting sessional timetables on the DLSPH website and updating course data in ROSI to reflect sessional course offerings. You will assist students with course enrolment issues and cross-departmental enrolment requests. You will also coordinate with the central course evaluation system to include PHS courses and work with instructors to facilitate course evaluations not conducted through the central university system, creating, and distributing evaluations, using survey software, and preparing evaluation reports for instructors.
This role is additionally responsible for planning a number of annual departmental and School-wide events including orientation and graduation. This includes, creating online invitation/registration links, coordinating catering, booking space and communicating with speakers/presenters and registrants. Your proven ability to multi-task with competing priorities will be critical to the success of our office.
Your Responsibilities Will Include
  • Collecting documentation required for accounting, payroll and/or HRIS processing
  • Verifying the admission eligibility of applicants and maintaining application databases
  • Coordinating program schedules, evaluation materials, and other logistical details with stakeholders
  • Providing detailed information to students on program and/or course requirements, along with informationrelated to processes, policies, and procedures.
  • Acting as the first point of contact for general inquiries
  • Determining logistical details and activities for events and/or programming.
Essential Qualifications
  • Knowledge of administrative systems and organizational office practices, procedures, and standards
  • Experience with documentation and records management
  • Minimum two (2) years’ of relevant administrative experience, preferably supporting students within a University setting.
  • Excellent interpersonal, organizational and communications skills (oral and written) with an ability to multi-task and prioritize competing demands
  • Knowledge of administrative systems and organizational office practices, procedures, and standards
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Experience in a complex and fast-paced customer service environment
  • Proficiency in Microsoft Office suite
  • Demonstrated experience supporting logistics and other related activities for events.
  • Strong commitment to accuracy and attention to detail
  • Ability to foster positive relationships with various groups
  • Experience with providing admissions, program, and course related information
  • Professional demeanor with a strong customer service orientation
  • Demonstrated problem-solving skills and proven ability to meet deadlines
  • Demonstrated ability to work independently, show initiative and exercise diplomacy and good judgment
