Job Description

THE OPPORTUNITY:

If so, London Health Sciences Foundation (LHSF) is hiring for the position of Development Coordinator, Donor Experience. In this role, you will contribute to our key event celebrations and fundraisers, creating a remarkable guest experience and providing vital administrative support.

As the Development Coordinator, Donor Experience, you will be responsible for guest management, ensuring guests are informed, engaged and have a positive experience throughout the event’s cycle. You will coordinate and execute event logistics, ensuring seamless operations and a memorable atmosphere. Your attention to detail and organizational skills will be crucial.

Collaboration is essential at LHSF, and we value a thoughtful and team-oriented approach. Your ability to work collaboratively with colleagues will be instrumental in achieving success. You will focus on the Donor Experience portfolio, including prestigious events like the Donor of Distinction Dinner, Annual Donors of Tomorrow Luncheon, and large-scale donor events. Additionally, you will oversee guest management for our Signature events portfolio, featuring the highly anticipated Country Classic Auction and Tastings.

Skills/Experience/Qualifications:

  • Exemplary attention to detail with excellent planning, organizational and time management skills.
  • Creative and resourceful with the ability to be flexible and prioritize new tactics as they emerge.
  • Possesses outstanding interpersonal skills and proven ability to build strong relationships.
  • Post-secondary diploma or degree in a related field preferred. Additional studies in fundraising and volunteer management an asset.
  • Proven ability to exercise diplomacy and good judgment.
  • A passion for creating memorable guest experiences and a commitment to delivering outstanding service.
  • An innovative, creative-thinking person with the ability to handle matters of a sensitive andconfidential nature.
  • Ability to be assertive while respectful in managing expectations of a wide range of stakeholders.
  • Proficiency in using Office 365, Raiser’s Edge, and other management software or systems to handle registrations ticketing, and attendee data.
  • Demonstrate strong organizational skills, attention to detail, and ability to prioritize multiple and changing demands.
  • Strong customer service orientation and genuine desire to create positive guest experiences.
  • Attention to detail to ensure accurate registration and guest information management.
  • Flexibility and adaptability to work in a dynamic event environment, including evenings, weekends as required.
  • Minimum 3 years related experience.
  • Demonstrates a high level of initiative and the capability to work independently.
  • Event planning experience required.


Functions/Duties: (not in priority order or percentage of time)

Guest Experience

  • Serve as primary contact for event guests, partners, and the public, fostering professional relationships and ensuring positive and consistent experience for donors and stakeholders.
  • Coordinate and oversee the organization of invitations, registration, event packages, and attendee check-in/out processes for attendees
  • Produce reports to deliver timely updates on attendee numbers
  • Coordinate guest feedback and evaluations, identifying areas of improvement and report on outcomes.
  • Maintain and update mailing lists while coordinating email segmentation as necessary
  • Maintain accurate guest databases and records, managing RSVPs, guest lists, and communication to ensure accurate event planning and execution.
  • Collaborate with internal teams to coordinate event details, such as seating arrangements, dietary preferences, and special accommodations for guests.


Administration

  • Oversee database support for Donor Experience Events in consultation with Information Management.
  • Coordinate and oversee the data lists for events; list pull, list review with development and ensure preferences are captured
  • Prepare event briefs for various stakeholders.
  • Work with Development Team partners on guest management pieces as required.


Other Responsibilities:

  • Abide by the Occupational Health and Safety Act, and work in a manner that is safe, reporting incidents immediately to direct supervisor.
  • Act as an Ambassador throughout the Community, positively representing the Hospital and the Foundation.
  • Abide by the policies and procedures of the LHSF and LHSC.
  • Work as a team player promoting a positive and professional work environment and conduct role with integrity and respect.
  • Other duties as assigned from time to time in order to meet the overall goals and objectives of the London Health Sciences Foundation.
  • Operates within culture and core values of the organization.
  • Requires up-to-date vaccinations, inclusive of COVID-19 vaccination.
