Job Description
Job Title: Development Administrator
Primary Location: Vancouver, BC
Job Status: Full Time, Permanent
Primex Investments Ltd. (Primex) is a BC-owned and operated real estate investment company. With more than $500 million in assets under management and 150+ staff province-wide, Primex is a leader in the development and operation of multi-family residential rental housing in BC. Founded in 1972, Primex, through its wholly owned property management subsidiary, Pacific Cove Property Management Ltd., provides rental accommodation to almost 3,000 families and individuals in Metro Vancouver, the Fraser Valley, Vancouver Island, and the Okanagan. Our talented in-house team includes specialists in acquisitions, finance, development, construction, marketing, leasing, and property management.
We are currently seeking a Development Administrator to join the team at our Vancouver head office. The Development Administrator will work with the Development team and report to: Director of Development.
What You Are Great At Doing
  • Other duties as assigned.
  • Working with Development Manager to provide accurate cost coding to invoices.
  • Updating the billing tracker to ensure all invoices are processed internally.
  • Advising the Development Team when cost commitments require budget revisions.
  • Tracking expenses and compiling expense reports for Development Team members (submitted monthly).
  • Tracking security bonds and Letters of Credit, following up when bond release is due, and ensuring payments/refunds are received.
  • Following up with Accounting Team to ensure payments are issued per Primex Development Payment Guidelines.
  • Attending development/consultant meetings; preparing and distributing meeting agendas and minutes.
  • Organizing the consultant contract folder and updating consultant lists.
  • Receiving and organizing development invoices. Forwarding to approvers as required and following up to ensure that approvals are completed on time per billing guidelines.
  • Consulting with Development Manager to track various fees and coordinate payment to the appropriate party.
  • Filing consultant proposals and change orders, tracking cost commitment to date.
  • Maintaining a strong relationship with in-house departments as well as external vendors.
  • Collaborating between Accounting and Development to ensure project cost to date is properly updated in the development budget.
  • Working with vendors to coordinate development incentives (Fortis, BC Hydro, Telus, etc.).
  • Reviewing invoices for correct attachments (per Development Guidelines) and billing entity. Following up with vendor for correction as required.
  • Collecting market data as required.
What You Need To Be Successful
  • Ability to organize multiple priorities.
  • Leadership in ethical standards and integrity.
  • Detail oriented.
  • Post-secondary Development related Degree/Diploma/Certificate or equivalent Development/Construction related experience.
  • Exceptional English communication skills, both verbal and written.
  • Self-starter.
  • A minimum of 2 years of relevant real estate or construction experience.
  • Strong document tracking and Excel skills.
