Job Description
Summary


The Cash Office Clerk fulfills a supportive clerical accounting role for Westerner Park. The primary function of this role will be responsible for counting and verifying cash-outs, preparing floats for events, balancing large volumes of cash, ensuring cash is safe-housed, distributed, and received; or in other areas as directed by the Cash Office Supervisor, Finance Supervisor and the Corporate Controller.


Essential Duties And Responsibilities


Under the direction of the Cash office Supervisor, the Cash Office Clerk is responsible for, but not limited to, the following:


  • Prepare the money for bank deposit and arrange pick-up by Brinks every other Friday.
  • Retrieve all cash drops from outlets if necessary
  • Track and report tip payouts to Finance Supervisor
  • Shred departmental paperwork as requested if time permits
  • Manage all keys for concession and bar locations
  • Follow business policies and procedures to fill out, file, and distribute all paperwork accurately
  • Count cash from food & beverage outlet server drops and reconcile to the point of sale readings
  • Support and assist in the training of new staff brought into the department
  • Provide expert cash handling which includes sorting and counting coins and currency efficiently
  • Actively roam events and provide cash change services and receipt paper needs under significant time constraints
  • Maintain balanced safe – verified at open and close of shift with Safe Count Report submitted to the Finance Supervisor
  • Maintain a balanced safe and report any discrepancies to the Cash Office Supervisor/Finance Supervisor
  • Other duties as assigned to meet business needs  
  • Count all monies, compare and verify totals against receipts or other documentation, such as petty cash
  • Record server over/short and prepare documentation: contact server for resolution over/short
  • Paperwork includes cash sheets, deposit summaries, audit or discrepancy reports and purchase-related documentation, such as supply orders
  • Manage petty cash to pay out tips when necessary to bartenders and concession staff and notify the Finance when needing a top-up on the petty cash fund
  • Prepare daily cash-out summary, and balance revenue to cash received. If not balanced investigate why and report to Cash Office Supervisor if it cannot reconcile.
  • Count and prepare daily floats for food & beverage outlets and Tickets Alberta Office
  • Note any discrepancies or questionable transactions and notify the Finance Supervisor by email
  • Follow up to confirm receipt and answer questions
  • Verify and balance electronic transactions from the credit card system and investigate credit card differences
  • Work with a variety of paperwork on a daily and weekly basis and submit necessary reports to Finance when required.

Qualification And Requirements


  • Good organizational, time management and prioritizing skills
  • Knowledge and proficiency using spreadsheets in SharePoint specifically Microsoft Excel and Outlook mail
  • Lifts up to 25 pounds without assistance; may lift up to 30 pounds with or without assistance
  • The ability to work independently and collaboratively within a team
  • High level of critical and logical thinking and analysis
  • Must be available to work flexible hours including early mornings, evenings, weekends and holidays as required
  • High level of comfort with technology
  • Strong attention to detail and accuracy
  • 1 - 2 years of data entry and cash handling experience preferred
  • Proven ability to work with different levels of management and staff
  • Background Check required
  • Works well under pressure
  • Excellent administrative, organizational, communication, and interpersonal skills
  • Cash handling experience, accurate and expedient use of business machines, that is, bill counters, coin counters and calculators

  • Given Westerner Park is in the Major Events industry, this individual will need the ability to be adaptable and flexible with their time. Work will include evenings and/or weekend shifts as event volume dictates
