Job Description

Job Duties:

  • Perform and monitor other case-related administrative duties
  • Establish work priorities for the case processing team, and coordinate the workflow between Consultants, Management and Case Managers/Assistants to ensure all case-related administrative tasks are completed on time and to the company standard
  • Provide training to new employees on company SOP for case processing
  • Coordinate office services, such as calendar, client meetings, maintenance, equipment and supplies.
  • Conduct analyses and oversee administrative operations related to budgeting, case planning and management.
  • Monitor the progress of cases at different stages to ensure all deadlines are met
  • Review case tracking and filing systems, assemble data and prepare reports/manuals periodically for the purpose of improving the workflow and case processing management procedures.
  • Respond to internal and external inquiries
  • Manage and review case filling system and the internal case tracking systems to ensure all data are properly updated and documented in a timely manner
  • Manage and coordinate the activities in the case communication groups for signed clients on instant messaging apps, such as WeChat, WhatsApp, LINE, etc., to ensure clients’ inquiries and concerns are addressed in a proper and timely manner;
  • Assist in the preparation of the operating budget and maintain inventory and budgetary controls


Qualifications:

  • Exceptional business writing skills
  • Intermediate computer skills (MS Office, Excel, and PowerPoint)
  • Minimum two-year work experience in senior administrative positions
  • Ability to work independently and work with the team
  • Completion of secondary school
  • Strong multi-tasking and prioritizing skills
  • Industry experience is an asset
  • Ability to follow established instructions and procedures
  • Strong ability to work in a fast-paced environment and to handle pressures
  • Strongly self-motivated and self-initiated
  • Fast learner, detail-oriented and well-organized
  • Capable of managing to meet various deadlines
  • Exceptional communication, interpersonal and customer service skills


Hours:

  • 9:30 am - 5:30 pm (including 1-hour unpaid break), Monday to Friday
  • Indeterminate, Full-time,


Compensation:

  • Compensation: $27-$30/hour


Benefits:

  • Weekly training and special events for on-going development
  • 10-day vacation, or 4% vacation paid out on each pay cheque
  • Extended health benefit after six-month of consecutive employment
