Competition Details Position Information Position Number S00957 Position Title Campaign Coordinator Division/Portfolio Advancement and Foundation Department/Program Advancement Location Kelowna Other Flexible Work Options Eligible for Hybrid Work Your Opportunity Under the general supervision of the Director of Advancement, the Campaign Coordinator provides support to the campaign team, including the Director of Advancement, Development Officers, the Communications & Marketing Specialist, and the volunteer committees. Coordinates, compiles and disseminates information; researches data; prepares campaign letters, proposals, materials and reports; coordinates meetings and special events, records, transcribes and distributes minutes. Functions and Duties 1. Provides administrative support for the campaign by working closely with the Director of Advancement, the campaign team (including Development Officers the Communications & Marketing Specialist, other members of the Okanagan College community, and campaign volunteers), and the Advancement department in support of the campaign goals.
  • Prepares and distributes campaign committee meeting agendas, as well as support and background materials.
  • Researches and compiles background information on donors and prospective donors, and prepares and updates prospect and donor profiles. Enters and updates information into the Raiser’s Edge database as required.
  • Assists with third-party fundraising events hosted by external stakeholders.
  • Supports the Office of Advancement in identifying prospects.
  • Must be a team player and be flexible
  • Develops, implements and maintains tracking system for gift agreements, including contract routing and submissions to the Board of Governors and provincial government for naming opportunities.
  • Develops impact and financial reports for major gift campaign donors and program donors to maintain donor relationships and to fulfil grant agreements. Assists Communication & Marketing Specialist with capital campaign reports. Works with Deans, faculty and staff for reports as part of stewardship for campaign donors.
  • Strong attention to detail for financial reporting
  • Performs other related duties as required. Education and Experience Graduation from Grade 12 or equivalent and graduation from a four-year community college program or equivalent. Over 2 year and up to and including 4 years related experience. Previous experience in fundraising, event planning and working with volunteers is an asset. Knowledge and prior use of the Raiser’s Edge database and online research programs such as iWave is an asset. Skills and Abilities - Excellent organizational, time and project management skills
  • Prepares currency records in the absence of the Division Assistant.
  • Records, transcribes and distributes minutes of campaign committee meetings and takes appropriate follow-up action.
  • Prepares, codes, and ensures accuracy of payment forms for invoices, expense claims, purchase orders, work requests, and payment vouchers related to campaign activities.
  • Must be able to maintain confidentiality.   • Drafts gift and sponsorship agreements, including deeds of gifts and pledge agreements for capital and program support for campaign donors and sponsors. Tracks recognition preference of donors in Raiser’s Edge to assist with donation announcements and development of signage and donor wall. Develops stewardship journey for campaign donors.
  • Works with key stakeholders, both internal (including the campaign team, College President, Deans, Directors, faculty and staff) and external (including volunteers, major gift donors and prospective donors), coordinates and schedules campaign related appointments and meetings.
  • Facilitates and coordinates signage and plaques for donations by working with internal and external stakeholders.
  • Prepares and submits Provincial Naming Applications. Liaises with the government agency to ensure the Provincial Naming Applications proceed in a timely manner and receive approval.
  • Coordinates special campaign events or functions (such as campaign launch and wrap-up events, donation announcements, facility tours, etc.), assists with set-up and facilitation of cultivation and donor recognition events.
  • Tracks campaign pledges and payments using Excel and Raiser’s Edge.
  • Facilitates and coordinates campaign donor wall projects by working with internal and external stakeholders, including writing the expression of interest, scheduling design meetings and coordinating the installation of donor walls.
  • Develops and coordinates campaign direct response appeal mail-outs, including developing follow-up plans with the campaign team and volunteers.
  • Writes and develops online funding applications (i.e. grant applications, letters of intent).
  • Strong written and verbal communication skills to develop proposals and reports, and build relationships with prospects, donors and volunteers
  • Must be able to manage high work volume and conflicting priorities in order to meet multiple deadlines at the same time
  • Prepares correspondence and major gift proposals, organizes and coordinates materials for the Director of Advancement, Development Officers, and volunteers in preparation for proposal deadlines and donor presentations.
  • Prepares correspondence, memos and reports related to campaign activities for the Director of Advancement, OC President, Board of Governors, government agencies and the campaign team.
  • Attends select meetings with Development Officers and prospects.
  • Proficient with Microsoft Word, Excel, PowerPoint, Access, Outlook and other various computer applications
  • Coordinates and produces financial, budget and other special reports, proposals and documents for the Director of Advancement.
