Job Summary


The Active Kids Program Manager is responsible for partnership building, program design, administrative oversight, implementation, marketing, reporting, and supervising student employees for current and future Active Kids programs. The Program Manager is a key member of the Outreach Programs at the School of Kinesiology, as such the incumbent contributes creativity, project coordination skills, and educational expertise.


Organizational Status


Reports directly to the Active Kids Program Director. The Program Manager works both independently and in partnership with colleagues of the School of Kinesiology’s Outreach Programs. Liaises with students, the public including children and adults and community stakeholders, as well as departmental staff and faculty. This position is responsible for supporting the successful prioritization, coordination, and execution of Active Kids related projects and tasks.


Work Performed


Program Management, Design and Delivery:


  • Responsible for student instructional staff and volunteer performance evaluations and mentorship.
  • Identifies learning objectives and experiential learning opportunities for UBC students, focusing on Kinesiology students specifically.
  • Responsible for partnership building, program design, administration, implementation, and occasional instruction required to maintain current and develop new programming in areas such as, but not limited to, Physical Literacy programming, Health and Wellbeing programming, Indigenous programming, Adapted Physical Activity programming, Sport Specific programming, and other new community programming areas as required.
  • Identifies and assists with grant proposal / applications and project partnerships.
  • Aligns program delivery with the School of Kinesiology Strategic Plan.
  • Works with campus partners and leaders to support program goals and objectives.
  • Liaises with faculty and Outreach team to ensure programs are evidence based and best practices.
  • Assists with the integration of academic curriculum and research activities to practical programs.
  • Oversees staff training and professional development opportunities.


Administrative Oversight:


  • Assists with creating, maintaining and updating all social media, website, and marketing materials for UBC Gymnastics and UBC Active Kids programs.
  • Ensure adequate certification and maintenance of accurate records of all support staff and equipment
  • Acts as the main point of contact for Active Kids public inquiries and reinforces all program policies.
  • Recruiting, interviewing, training, scheduling, supervising, and performance evaluation of program support staff and student volunteer for new and existing programs offered through Active Kids
  • Attends to the Osborne Registration Office front counter to assist with registration and client inquiries when required
  • Communications internally and externally between the programs and collaborating partners.
  • Ensures adequate staffing is available to meet Active Kids program demand
  • Weekly in-gym instructional / teaching hours are minimal but will vary pending program requirements. Occasional evenings and weekends may be required.
  • Supports the Gymnastics Program Coordinator for gymnastics client assessments, private lessons, group bookings, and special events.
  • Responsible for carrying out all other related duties as necessary in keeping with the requirements and qualifications of the job, the vision and philosophy of Active Kids, Outreach, and the strategic plan of the UBC School of Kinesiology.
  • Supports the Registration Office with the processing of Active Kids registration related processes where necessary, such as the development and the maintenance of the registration software.
  • Organizes and participates in training, orientation, and information sessions.
  • Develops, maintains and documents detailed procedures and operations for each program/site.
  • Performs analyses of enrollment data on a regular basis.


Safety and Equipment:


  • Inspects, documents, and follows up on gymnastic facility safety / security hazards, participant accidents / injuries and arranges for additional repairs / maintenance or client follow-up as required.
  • Books, organizes and maintains all facility spaces in a safe and logical manner.
  • Performs due diligence in ensuring the safety of participants in the Active Kids Programs
  • Ensures proper training techniques, injury prevention, proper equipment, and safe facilities across programs.
  • Acts as facility emergency first-aid attendant across all programs, when present


Consequence of Error/Judgement


This is a position of trust as it delivers programs to children and adults from the community at large registered in the School of Kinesiology Active Kids programs. Errors could result in personal injury, financial loss as well as in damage to the reputation of the School of Kinesiology and the University of British Columbia.


Supervision Received


Reports directly to the Active Kids Program Director. Works under established guidelines and policies. The Active Kids Manager is capable of working as a team, as well as independently with minimum supervision.


Supervision Given


Oversees the Active Kids Program Coordinator. Supervises, trains, and evaluates program instructor staff and student workers and volunteers.


Minimum Qualifications


University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications


Undergraduate degree in a relevant discipline or graduation from a technical college or institute.


Minimum of two years experience or the equivalent combination of education and experience, including 2 years of supervisory experience in children’s or recreational physical activity programs, or an equivalent combination of education and experience with proven leadership.


Knowledge of physical literacy and coaching best practice and principles. If not already completed, the successful candidate must complete physical literacy (Sport for Life) and fundamental movement skill (NCCP) training and certification.


NCCP Gymnastics Foundations certification (complete) is a strong asset.


Criminal record check with vulnerable sector and complete Emergency First Aid/CPR training and certification.


Must have active interests and experience in Sports / Coaching / Recreation / Physical Education / Health and Wellbeing / Community Engagement.


Ability to engage with a diversity of people in a calm, courteous, and effective manner, be able to work with all age groups (especially children and UBC Students), and be able navigate complex scenarios while being respectful of opinions and views in conflict with one’s own.


Proficient using computer software including Microsoft Office (Outlook, Word, Excel), Adobe Suite (InDesign), web browsers, online registration software, and Wordpress.


Ability to operate job-related equipment e.g. computers including hardware, printers, scanners, storage devices and other peripherals); photocopiers, fax machines.
