Calls in and allocates relief staff to fill temporary staffing requirements.

Maintains records of staff such as names, addresses, phone numbers, availability for work and suitable work area.

Maintains work schedules, payroll books and timekeeping records for staff and submits to payroll.

Organizes and maintains department documentation such as manuals, code books, drawings, etc. and other relevant department materials.

Arranges and confirms appointments and arranges meetings. Attends meetings and records, transcribes and distributes minutes.

Receives visitors, provides information and directs to appropriate persons or areas.

Monitor and receive Manager of Permit Services messages and phone calls;

Manages the co-ordination and support needed for seminars, conferences, and training;

Prepares monthly reports in AMANDA to review with Manager on status of all permit applications:

Verify status' by corresponding with CSR's, Plan Examiners and Manager of Permits, review email correspondence;

Manage and update permit files in AMANDA pertaining to ERCA, Utility Clearances, Engineer Reports, Liquor Licence applications, etc.

Must have sound knowledge of general office procedures;

Have more than 3 years of professional experience as an internal services clerk;

Sense of organization, rigor and management of priorities.

Have a good knowledge of the Microsoft Office suite.
