We are seeking a talented and highly organized individual to join our team as a Virtual Executive Assistant! As a Virtual Executive Assistant, you will be an invaluable asset, providing comprehensive support to our executives and contributing to the smooth operation of our organization. This is an entry-level position that offers remote work opportunities, allowing you to work from the comfort of your own home while honing your skills in executive support. This position is based in Canada and welcomes applicants from all across the country.
Responsibilities:
- Coordinate and arrange travel logistics, including flights, accommodations, and ground transportation, ensuring smooth and efficient travel experiences for executives.
- Assist in organizing and coordinating company events, meetings, and conferences, handling logistics, invitations, agendas, and follow-ups.
- Conduct basic bookkeeping tasks, such as processing expenses and managing invoices, to support financial operations.
- Conduct thorough research and compile data to assist executives in making informed decisions and staying up-to-date with industry trends and developments.
- Serve as a trusted liaison between executives and internal/external stakeholders, maintaining effective communication and managing calendars, appointments, and meeting schedules.
- Collaborate with cross-functional teams and assist with special projects as assigned.
- Provide general administrative support, including filing, record-keeping, and organizing documents, both in physical and digital formats.
- Manage and prioritize incoming emails, messages, and phone calls, ensuring timely responses and effective handling of confidential and sensitive information.
- Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy, professionalism, and adherence to established guidelines.
Qualifications:
- Proficient in using productivity tools such as Microsoft Office Suite, project management software, and virtual communication platforms.
- Strong problem-solving skills and the ability to anticipate needs and provide proactive support.
- Previous experience in administrative or executive support roles is a plus, but not required for entry-level candidates.
- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Bachelor's degree in business administration or a related field, or equivalent practical experience.
- Excellent verbal and written communication skills, with exceptional attention to detail and accuracy.
