Job Summary


Dalhousie University, under the leadership of the Vice-President Research & Innovation, administers over $200M annually in research funding. As part of the Office of Research Services ( ORS ) and reporting to the Manager, Research Ethics, the Support Specilaist provides highly focused and confidential support to the Research Ethics unit. The Specialist contributes to the advancement of ORS strategic objectives by providing independent review and analysis of a high-volume of confidential documentation managed by the Research Ethics unit, directing the coordination and flow of documentation to facilitate efficient decision-making, providing accurate and timely guidance to researchers on ethics submission requirements, procedural issues, and deadlines, and serving as a first point of contact for inquiries to the Research Ethics unit.


Key Responsibilities


  • Review, interpret, and process incoming documentation, ensure administrative completeness of such documents, and provide preliminary assessment and feedback to researchers, Managers or Director, and Board members on such documentation as required.
  • Coordinate the review of all research ethics applications, ensuring established processes are followed and deadlines are met.
  • Act as the first point of contact for the Research Ethics unit and provide specialized guidance and assistance to researchers (including student, staff, faculty, and external researchers) and the research community on ethics requirements, processes, timelines, resources, and documents.
  • Manage online hub (Brightspace) of all training, applications, and meeting materials for REB members and provide user support on Brightspace system including technical support and understanding workflow. Prepare and deliver orientation to new Board members.
  • Provide administrative and operational support for the Research Ethics unit and oversee internal document review system ( ROMEO ); direct related workflow for all staff.
  • Provide high level administrative and operational support to the Social Sciences & Humanities and Health Sciences Research Ethics Boards ( REB ), including coordinating Board meetings, accurate and timely preparation and circulation of documents required to inform decision-making, providing technical support, and following through on action items.


Note


The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications


  • Demonstrated attention to detail and exceptional organizational skills.
  • Proficiency in MS Office Suite.
  • Demonstrated ability to work under minimal supervision while prioritizing a workload with multiple concurrent demands.
  • Excellent written and oral communication skills.
  • College diploma with a minimum three to five years’ related work experience (or an equivalent combination of training and experience).


Assets


  • Experience in a research or research ethics environment.
  • Experience with relational databases.
  • Previous work experience in a university environment.
  • University undergraduate degree.
