As Purchasing Clerk you will focus on the purchasing and sourcing of products and maintaining accurate information in SAGE. You will be expected to act as ambassador when dealing with suppliers. You are expected to maintain accurate inventory records and communicate receiving dates and changes with internal customers.
The primary job duties and responsibilities include but are not limited to:
Policies
- Follow all Williams Food Equipment policies & procedures
- Comply with all health and safety requirements.
Purchasing
- Ability to evaluate products and suppliers to determine the best source and most competitive pricing.
- Compile requests for products, prepare purchase orders, keep track of purchases and supplies, and handle inquiries about orders.
- Identify and source new products.
- Identify actual or potential delivery problems and take corrective action.
- Enter and update vendor data.
- Provide timely resolution of issues affecting delivery.
- Monitor receipts and return goods and ensure timely delivery of products and stock items.
- Receive and prepare documentation for the warehouse, where required.
- Identify discrepancies between shipments and orders, take action as needed.
- Update pricing and lead time to all materials in SAGE
- Compare invoices against purchase orders and shipping / receiving documents to verify receipt of items ordered.
- Serve as back-up for the Manager, Purchasing.
- Follow and update ETA/ETD of shipments.
- Establish logistics and deliveries with vendors.
- Maintain detailed records for products and sourcing.
Warehouse & Inventory Management
- Minimize inventory levels while ensuring that we have an adequate inventory to meet demand.
- Update and maintain the accuracy of inventory in SAGE.
- Determine vendor priority and stock levels based on established criteria.
- Minimize supply of office supplies while ensuring that we have sufficient supplies to meet our needs.
- Participate in annual physical inventory count and periodic cycle counts.
Customers & Communication
- Communicate directly with suppliers by email and or direct phone calls.
- Handle correspondence concerning shipment overages, shortages and damages.
- Escalate measures as required to assure customer satisfaction.
- Identify and communicate cost saving ideas.
- Proactively keep departments/branches informed of changes in delivery dates, product changes, substitutes, new products, cycle counts, etc.
- Respond to inquiries, both internal and external.
Sundry Duties
- Additional duties as assigned and amended from time to time
- Foster a culture of continuous improvement.
- Billing and collection of miscellaneous accounts.
Qualifications & skills
Minimum qualifications for this role include:
- Have a professional, positive and solution focused attitude.
- Extremely reliable individual who can work independently with regular, predictable and full attendance as an essential function of the job.
- Ability to work independently, make decisions and problem solve.
- Speak/write/read fluently in English
- Previous experience working with Sage 300 software
- Strong cognitive skills (listening, analyzing and interpreting data).
- Detailed oriented with the ability to work effectively under pressure and juggle multiple competing demands.
- Good communication, multi-tasking, prioritization and time management skills.
- Excellent computer skills particularly with the MS Office suite of products.
Working Conditions
Office environment. Regular work hours are 8:00 am to 5:00 PM Monday to Friday, with occasional time as required to meet workload demands.
Education
- High school diploma or equivalent is required.
- Any purchasing, supply chain management training or courses would be considered an asset.
- College diploma or University degree in purchasing, supply chain management, logistics, accounting or related field would be considered an asset.
Physical requirements
- While performing the duties of this job, the individual will be required to sit for long periods of time, stand, walk, and carry small items up to 30 pounds.
- The individual will be required to remember and understand certain instructions, guidelines, or other information. The individual must be able to see and verbally communicate in English. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.

Compensation:$35,000 to $45,000 annual salary
Bonus: Yes, eligible to participate in the company bonus program after successfully completing probation and is based on company and individual performance.
