Job Description
Position Overview
The Schulich School of Engineering is currently seeking a Full-time Limited Term Project Manager for approximately 14 months.
Reporting to the Director, Business Operations, this position will be responsible for leading projects supporting physical and technical infrastructure and space improvements & projects within the Schulich School of Engineering. Responsibilities include managing renovation projects and to enhance the teaching, research, and administrative functions of the Faculty. The Faculty infrastructure spans 11 buildings and includes buildings, laboratories, classrooms, and offices.
The primary purpose of this position is to effectively manage the renovation projects, including decanting and working with Departments to utilize available space. This role will be responsible for gather information and to plan for renovations coordinate moves related to projects of people and equipment. The incumbent will be responsible for data analysis, records and space utilization reports and work in conjunction with the leadership team (both academic and staff) within Schulich to support the growth of the Faculty.
This position will be a main contact with Campus Architecture, Facilities Management and Development, Project Management Office, Campus Architecture, Campus Planning, Research Services, Financial Services (Research Accounting), internal/external project managers and provides support for all aspects of space planning, renovations and capital projects as required. This will also include support to CRC, AERI, CFI and other major granting agency opportunities. This position will liaise with the Schulich School of Engineering Consultant, Environmental Health and Safety regarding any health and safety issues pertaining to renovations or any space occupied by the Schulich School of Engineering, and with the IT Partner regarding issues related to IT requirements.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
  • Review project plans in detail, to ensure that Schulich priorities and needs are met for any additional space and all major renovation requirements and potential capital projects.
  • Serve as a critical resource to Department Heads & Department Managers on designated space within each department, this includes assisting with compliance with all applicable government legislation and University policies.
  • Manage the transition of previous occupants (decanting) to new spaces, including all communications and support for logistics of moving equipment. Provide detailed plans prior to renovation to the respective departments and work in conjunction with Department Managers for space solutions.
  • Liaise with Department Heads, Academic Faculty & research occupants on all projects to ensure that renovation plans meet the requirements of the proposed usage.
  • Working with Director Campus Planning, Campus Architecture team and staff, Engineering Departments to develop and implement Space Master Plans for the Faculty and Departments.
  • Implement the space and physical infrastructure plans for the Schulich School of Engineering by supporting the develop and consulting on guidelines and processes relating to their allocation, utilization, development, and renovation.
  • Explore options for additional funding to meet the needs of critical infrastructure renovations and projects, with the research possibilities and considering plans for growth in student and academic faculty.
  • Provide a quarterly report on the space utilization within the Faculty, identifying key areas and solutions with department academic leaders to ensure space is functional.
  • Manage renovation projects, as the prime contact for the central team, track progress and provide updates weekly to the Director, Vice-Dean & Dean.
  • Responsible directly to the Senior Leadership Team in Schulich, on all renovation projects and the associated budgets.
  • Develop short- and long-term plans for space improvements, provide update information for A/VP Facilities Management, Campus Architecture and Campus Planning as required.
  • Advice on all aspects and use of Engineering space, teaching, research, and laboratory space and
  • Be the lead and develop proposals and functional designs for significant renovations, upgrades, and new buildings (i.e., Capital Projects), to ensure that they support the long-term physical planning goals of the Faculty, working with Campus Architecture and Campus Planning.
  • Be the principal advisor and conduit for the Schulich School of Engineering between the Departmental Heads, Deans Office and CP, Facilities Management and PMO.
Qualifications / Requirements:
  • Effective budget planning, preparation, monitoring, and reporting experience accompanied by proven track record of effective project planning management and development
  • Ability to lead and guide teams of other professionals including architects, engineers and accountants and Sub-Unit Managers.
  • Proficient in computing skills, ability to contribute to and interpret architectural and engineering drawings.
  • Must be resilient and functional in a stressful environment.
  • Knowledge of laboratory or other research and teaching environments would be a strong asset.
  • Strong leadership, project management, work organization and process management skills essential.
  • Will work closely and give advice to the Faculty Leadership, Department Heads, Technical and Department Operations & Administrative Managers.
  • Accurate and effective written and verbal communication and presentation skills.
  • University degree with additional qualifications in facilities design and management, particularly as they relate to a university or other scientific context, or equivalent experience.
  • Experience of 5+ years of experience with senior management in a large research university or other large, complex organization.
  • Understand and experience with building design, construction, engineering systems and practices and operation leadership is required.
  • Experience in strategic planning & capital project planning, is required.
  • Ability to interact and work effectively with faculty, staff, students, and members of the community at large and has strong negotiation and mediation skills.
  • Customer service orientation and the ability to establish working relationships based on respect and trust with clients, partners, and staff.
