Job Description
Primary Purpose:


To work as part of a team responsible for executive education including leadership development, management-training programs, non-credit certificate programs and special events delivered through Edwards Executive Education, Edwards School of Business.


Nature of Work:


Reporting to the Business Operations Manager, Edwards Executive Education, this position involves working with Edwards’ faculty, external consultants, and venders to coordinate management and executive training and development workshops, non-credit certificate programs and special events. The ability to focus on and manage detailed program specifics are essential requirements. This position is subject to constant internal and external deadlines and shifting priorities. Discretionary decision-making is required. The incumbent will provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external constituents and stakeholders.


Flexibility in working hours is necessary, as there will be some early mornings, evening and weekend commitments. Occasional travel is required.


Accountabilities:


Program Coordination


  • Prepares and maintain program progress reports. Ensures completeness, accuracy and timeliness of all operational program functions.
  • Responsible for training and supporting facilitators on virtual platforms used for program delivery.
  • Support the Manager with administrative oversight on communication and material dissemination to participants involving both on-line and hard copy formats.
  • Manage on-site, day-of execution of programs as needed.
  • Assist with the learning management system (Canvas) to ensure that participants have access to appropriate program materials in conjunction with Program Development Specialist.
  • Produce materials necessary for program delivery.
  • Ensure venues and hospitality arrangements are planned, contracted and organized.
  • Monitor online learning environment and liaise with Information Technology Support Services, Edwards School of Business as needed to optimize participant experience.
  • Assist in maintaining program budgets and supporting financial reconciliation of programs.
  • Develop and maintain processes and procedures that support events and programs as required.
  • Coordinate and manage program logistics.
  • Maintain registration databases and client relation management systems.
  • Provide customer support to program participants and clients.


Stakeholder and Customer Service


  • Proactively engage with participants in the classroom to ensure program delivery is an outstanding service experience.
  • Establish strong working relationships with internal and external stakeholders including client organizations, facilitators, and colleagues to provide value added support of program activities.
  • Collaborate with Sales and Marketing team to identify prospective leads and help generate participant program referrals.
  • Assess and interpret participants training and development needs and advise them on further personal and professional development growth.
  • Ensure our customers have a positive and lasting impression of their Executive Education experience.
  • Ensure positive interaction and first-rate engagement with current participants, prospective registrants, vendors, facilitators, and all other stakeholders for executive programs.


Qualifications:


Education:


Bachelor degree, preferably Commerce, with a human resources or management major or other equivalent education (degree) and experience.


Experience:


Three to five years of progressive, related experience in client account management including program planning and training and development coordination. Customer relationship management is required.

  • Exceptional communication skills, both written and verbal; proven ability to work independently, collaboratively and as an effective team member and to build and maintain relationships with internal and external customers.
  • Ability to anticipate project needs, discern work priorities, pay keen attention to detail and meet deadlines.
  • Demonstrated excellence in all aspects of program planning, coordination and implementation.
  • Highly effective interpersonal skills, including diplomacy and tact with enthusiastic professionalism in dealing with people.
  • Ability to handle multiple projects and work assignments.
  • Proven ability to maintain confidentiality; superior working proficiency using a CRM, Microsoft Word, Excel, PowerPoint, Publisher, and Outlook.
