We are currently recruiting for a full-time Registered Pharmacy Technician Coordinator, Pharmacy Services to support our Pharmacy Services division.


Position Overview


Reporting to the Manager, Pharmacy Coordinators, the Coordinator, Pharmacy Services provides technical and operational support to the Pharmacy Services team in all stages of the sourcing initiative development e.g. Request for Proposal (RFP) and execution including implementation of the Pharmacy contracting process and ongoing maintenance of existing contracts. Primary objectives include the provision of exemplary Member customer service, vendor relations, contract management and issue resolution while supporting all elements of the sourcing initiative process. Pharmacy Coordinators are actively involved with the Pharmacy Buyers Subcommittee (PBSC), comprised of our Members (e.g. Pharmacy Technicians, Purchasing or Procurement Specialists) and provide support to all other Pharmacy Functional Advisory Committee and Subcommittee functions as required.


Key Responsibilities

Member Customer Service

  • First line management of contract price differential reimbursement requests if requested by Non-Spend Analytics Program Member, if within regulated pharmacy scope of practice
  • Participate in activities of the PBSC including meeting preparation, participation, and minute recording, and other activities such as conducting orientation for new Subcommittee representatives and site visits, completing PBSC action items, as assigned, managing relationships
  • Assist with preparation and participate at Pharmacy Functional Advisory Committee meetings and post-meeting follow-up/actions, as assigned
  • Provide support and manage relationships with Members of the PBSC
  • Provide orientation and ongoing support to Members for available electronic tools e.g. Non-Spend Analytics Program Reimbursement Request tool, Pharmacy Community including the Forum, Issue Reporting tool
  • First line management of Member issues submitted through electronic Issue Reporting tool or reported directly for investigation, resolution, and communication if within regulated pharmacy technician scope of practice
  • Participate in Spend Analytic Member meetings, as required/assigned
  • Manage and coordinate response to Member requests for assistance with the Member Portal
  • Provide accurate, timely, professional response to Member non-clinical inquiries/product issues


Sourcing Initiatives/Contract Implementation

  • Prepare and execute post-bid closing activities
  • Prepare contract implementation packages and product conversion information for Members
  • Issue contracts for electronic signatures, tracking, and filing of contracts
  • Track/manage product sample inventory
  • Prepare and execute Request for Information activities
  • Prepare new contracts in computer system and create contract documentation for contracts for assigned vendors
  • Attend Proponent meeting web session
  • Prepare documentation for final approval and public posting
  • Participate in development of criteria and weighting
  • Participate in the planning and execution of sourcing initiatives with the Clinical Director, as assigned, including:
  • Monitor public posting, consulting with Clinical Director as required
  • Coordinate and participate in internal and Member analysis/scoring activities
  • Prepare draft timelines for approval
  • Coordinate contract development process


Contract Management

  • Participate on various drug supply multi-stakeholder calls, assigned
  • Participate in marketplace surveillance activities to identify changes impacting existing contracts, new competitive market entries and new product contracting opportunities, briefing as needed, clinical directors for clinical evaluation
  • Assist in monitoring various sources of information related to contracted product safety concerns
  • Perform ongoing maintenance of assigned contracts in computer system, output documentation, issue for electronic signatures, tracking, and filing of contract amendment documents
  • Provide support to MitigAID program, as required
  • Provide accurate, timely, professional response to vendor non-clinical inquiries and participate in meetings with assigned vendors as required
  • Post applicable vendor notices not related to backorders, recalls, or discontinuations to Portal Advisories
  • Participate in Business Development activities including vendor meetings, as required/assigned
  • Perform designated activities associated with Option Periods and Member Contract Exclusion requests


Additional Areas of Responsibility

  • Communicate user account administration requirements and development/maintenance of group distribution lists for execution by designated staff
  • Provide additional support as required to staff and Members
  • Assist with the development of training tools
  • Manage receipt and filing of pharmacy related product articles/bulletins and action appropriately
  • Assist in monitoring of National repositories and vendor communications regarding drug shortages for significant impacts to Members
  • Assist with development/maintenance of Coordinator, Pharmacy Services system and process documentation, as assigned
  • Attend and contribute to applicable internal meetings
  • Liaise with other departments, as assigned, for ongoing revisions, development, implementation, and enhancement opportunities
  • Contribute to a positive office environment within the team and organization
  • Relevant continuous learning

Skills And Qualifications

Required

  • Registered Pharmacy Technician (RPhT) with Ontario College of Pharmacists (OCP)
  • Ability to work in-office (on-site) a minimum of 3 days per week with flexibility of remote work for remaining 2 days per week
  • Demonstrated proficiency using Excel

  • Demonstrated knowledge in all facets of Office suite/electronic communication

  • Pharmaceutical contracting/purchasing experience an asset
  • Adaptability with a desire to learn
  • Attention to detail and high level of accuracy
  • Excellent interpersonal skills with a high concentration on Customer Service
