Job Description
We currently have a Temporary Part-time (0.8 FTE, until approx. July 2023) opportunity for a Patient Administrative Associate – Orange Zone Flow in the Emergency Department at our Bayview Campus.


Hours Of Work


Monday to Sunday: 1000-0200hrs, 8 hours, as per schedule, Statuary Holidays Required


Summary Of Duties


The PAA is responsible for coordination of patient flow and patient activities; administrative services for patient care unit; maintenance of patient records, and administrative support to patient care unit.


The overarching role of the PAA is to facilitate the efficient flow of patients through the Emergency Department Orange Zone.


The Orange Zone Flow PAA Will Work Closely With The Orange Zone Nurse Lead To Coordinate Patient Flow Into And From The Orange Zone


  • Providing new patients with gowns
  • Ensuring the maximum number of patients are in the zone at all times, directing new patients into the zone as needed
  • Calling Environmental Services as needed to ensure timely turnover of rooms
  • Discussing with X Ray, CT and ultrasound if and when patients can be directed to those departments
  • Keeping the tracking board up to date
  • Directing new patients into appropriate care spaces within the zone


The Orange Zone Flow PAA will be responsible for administrative support to the zone:


  • Answering phone calls, and providing the caller with relevant appropriate information to improve flow through the zone, including CT and X Ray department, Lab department, and consulting services
  • Directly answering questions from patients and families when possible, involving the clinical team when necessary
  • Calling PSP as needed to obtain equipment as requested by clinicians
  • Printing bloodwork when requested by patients or clinicians
  • Assisting clinicians in contacting other services e.g. radiology
  • Updating accurate demographics for patients as needed, including access to My Chart
  • Booking appointments when requested by clinicians


Qualifications/Skills


  • Keyboarding at 40 net w.p.m minute or keyboarding at 106 net keystrokes per minute.
  • Candidates who have successfully completed the Hospital's PAA training and have been confirmed in the PAA role will be given priority consideration.
  • Demonstrated understanding of collective agreements including ONA, SEIU clerical and service collective agreements
  • Ability to organize work effectively, and work at a fast pace in an unpredictable environment that requires the ability to manage multiple tasks.
  • One year of Administrative/Business experience required, in a health care setting preferred
  • Demonstrated knowledge and experience of ESP staff scheduling and payroll Outstanding Customer Service Skills Essential.
  • Advanced computer skills with a high degree of accuracy.
  • Demonstrated understanding and ability to work in an interprofessional team environment.
  • One year of Community College-Medical Terminology course preferred
  • Excellent problem-solving skills, ability to deal with conflict and communicate appropriately with staff and families.
