Job Description
Recruit Moore have been approached by our client in Colden Common to support them in finding a Private PA/EA.


Your role will be to provide an efficient and effective administrative and planning support service to the Company Directors (Private & Corporate).


The role will start approximately with 60% private supporting duties and 40% business, although this will vary, and the private support will increase.


Private


You will be required to provide personal and business support to the Company Directors and their family, to ensure smooth running of all family and household affairs, amongst others, the following duties during hours of employment -
  • Overseeing the general running and maintenance for the family's private residences and car fleet, and managing ad hoc projects
  • Household management (car insurance reminders / pet vaccination reminders / recruitment of household staff
  • Management of private and household diaries including:
  • Overseeing/liaising with other household staff, including managing payroll information as well as holiday and overtime records
  • Buying tickets for events
  • Playdates and child care planning
  • Making restaurant reservations
  • Travel planning
  • Booking entertainment
  • Serving as a point of contact for the family as and when required
  • Liaising with private bankers and accountant
  • Management of private and household contact databases
  • Ensuring all school/children/family related appointments are noted within household diary


Corporate -


  • Liaising with clients, staff and suppliers
  • Provide general administrative support to the Company Directors
  • Devising and maintaining office systems, including data management and filing
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Arranging travel, visas and accommodation and, occasionally, travelling with the Directors to take notes or dictation at meetings or to provide general assistance during presentations
  • Producing documents, briefing papers, reports and presentations
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the Managing Director
  • Act as the Directors first point of contact with people from both inside and outside the company
  • Office administration, keeping travel and diary schedules
  • Working solely for the Company Director
  • Organising and attending meetings, and ensuring the Director is well prepared for meetings, minute taking and maintaining records


Our client is looking for someone with previous Private PA/EA experience, as well as experience of minute taking and offices duties.


The ability to manage and prioritise a busy workload and to work under pressure is essential, along with strong written English skills, with the ability to draft letter and general correspondence.


Hours - Monday - Friday, 9am to 5pm (1hr lunch break).


Location - In person either at the office (most often Colden Common but may need to travel to another office) or Director’s home (Ropley).


You will need to remain open and adaptable to weekly changes to routine, depending on the movements of Directors.


Salary - £30,000 - £35,000, depending on experience.
