Jewish Family and Child Service is a multi-service, client-centered, family service agency and a Children’s Aid Society. We support the healthy development of individuals, children, families, and communities through prevention, protection, counselling, and education and advocacy services, within the context of Jewish values.


A bout the Roles


We are seeking a Receptionist to provide administrative support to the Downtown Team. This position is the first point of contact for program related inquiries including responding to administrative needs of the team both internally and externally.


Responsibilities


  • Attend and/or coordinate meetings, prepare meeting agendas, take meeting minutes
  • Maintain and ensure accurate tracking, distribution and balance of food vouchers and TTC tokens/tickets.
  • Create a positive welcoming environment by greeting and assisting visitors, clients, staff, or other parties.
  • Perform other duties as assigned.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services and other correspondence.
  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Perform a variety of general administrative duties in support of the branch’s programs and teams.
  • Represent the Agency’s mission, vision and values in the community
  • Maintain the reception, waiting area and meeting rooms in a tidy and presentable manner.
  • Assist with data management and file maintenance both electronically and physically


Qualifications:


  • Post-secondary degree/diploma in an Office Administration related program
  • Adaptable, flexible, and responsive to ever-changing deadlines and circumstances.
  • Ability to manage multiple priorities and requests
  • 2 years of related experience in administration working in social services or with a community agency
  • Superior telephone etiquette
  • Proficiency in Microsoft Office programs and Zoom
  • Excellent verbal skills to liaise with a number of contacts including potentially hostile clients
  • Fluency in French/Russian/Hebrew will be considered an asset
