Job Description

Executive Assistant Position


Seeking a part-time remote Executive Assistant to optimize operations for my established psychology practice. The ideal candidate will be interested in a long-term commitment and potential for growth within the company. Occasional on-site support may be advantageous. The role entails up to 5 hours per week, with the opportunity for increased responsibilities following a 90-day probationary period. Consideration for a full-time transition will occur after a successful performance review at the end of the first 9 months. Initial compensation starts at $15.00 to $20.00 per hour, with room for advancement.

Job Requirements:

  • Organize personal commitments
  • Respond to all inquiries within 24 hours
  • Acting as a first point of contact
  • Provide daily administrative and clerical & personal assistance
  • Liaising with suppliers
  • Weekly schedule planning
  • Typing and finalizing reports and correspondences
  • Assist with general business management, knowledge of SEO, website development and maintenance will prove to be an added advantage
  • I.e., website development, applying for permits, making appropriate contacts.
  • Submit detailed weekly timesheets
  • Reconcile my personal calendar with the business calendar
  • Conducting relevant research in my field of research and professional research
  • Invoicing
  • Customer communication via phone and email

Experience/background preferred:

  • Ability to work efficiently and independently while effortlessly meeting multiple deadlines with minimal supervision
  • Excellent interpersonal skills
  • Word, Excel and Outlook experience required
  • Physical demands, walking sitting, standing, bending, lifting (up to 30 lbs)
  • Strong organizational skills

Experience:

  • Skilled at math (not a prerequisite but a definite plus!)
  • Small business familiarity
  • Event Planning
  • Working with a start-up

Qualifications:

  • At minimum, high school graduation. Preference will be given to those with bachelor’s degrees, or diplomas/certificates in business management/program management/project management.
  • Solid verbal skills (both oral and written)
