Position Summary


The Dining Services Coordinator (DSC) supports Dining, Leasing & Conference Services by carrying out the activities required to coordinate, gather, and analyze information to deliver the mandates of Dining Services.


The DSC is a key crossover role supporting our residential dining halls and food service outlets on campus. The DSC is responsible for ensuring key performance indicators are maintained and day to day needs are met in the business unit. This position oversees maintenance requests and ensures all food service outlets are operational.


This position requires significant interaction with students, guests, clients, various departments throughout the portfolio as well as external partners and stakeholders. The DSC is expected to maintain an orderly and efficient flow of a wide variety of reports, quotes and work orders, with the primary responsibility of ensuring the administrative operations of the unit are achieved in an efficient and timely manner.


Duties


  • Evaluates, redirects, or responds to requests, inquiries, and complaints.
  • Provides guidance and assists users with non-routine financial inquiries and transactions.
  • Designs and develops customized reports for department specific needs.
  • Creates and manages equipment inventory spreadsheet on an ongoing basis.
  • Record tracking for maintenance expenses as it relates to inventory management of equipment; this assists in managing the overall life cycle of all food services equipment.
  • Data analysis and creation of maintenance data summary reports.
  • Develops processes and procedures in order to improve the workflow of the department; identifies gaps and solutions and presents recommendations to Director, Dining Leasing & Conference Services.
  • Populates SupplyNet with maintenance purchase order requests.
  • Creates change orders for maintenance purchase orders.
  • Research errors and discrepancies. Resolve where possible. Escalates when necessary.


Minimum Qualifications


  • Minimum 2 year diploma or equivalent; additional training or education in the food and beverage/hospitality business sectors is preferred; combinations of education and experience will be considered.
  • Minimum 2 years experience performing professional administrative and operational support in a fast-paced office.
  • Ability to work independently and as a team to build and maintain professional working relationships as a collaborative team member and positive representative of the unit.
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with both internal / external clients and stakeholders at all organizational levels.
  • Excellent time management skills with the proven ability to prioritize multiple tasks and competing deadlines in a very demanding, fast-past environment while maintaining superior accuracy.
  • Analytical, problem solving, interpersonal, organizational, verbal and written communication skills with superior attention to detail.
  • Demonstrated ability to adapt and pivot to rapidly changing demands.
  • Strong computer proficiency with both Google Suite and Microsoft Office required.


Preferred Qualifications


  • Ability to follow complex instructions and work with minimal supervision.
  • A comprehensive understanding of food and beverage operations and administration.
  • Knowledge of Purchase Ordering/Supply Chain systems.
  • Detail-oriented, decisive, with strong customer service skills.
  • Strong planning and multi-tasking skills with an attention to detail.
