- Train employees in any new policies, procedures, or standards to be implemented across the entire clinic.
- Monitor and evaluate the performance of medical office assistants, and conduct feedback sessions and performance reviews.
- Recruit, hire, and coordinate the training of new staff members.
- Facilitate effective communication and collaboration among staff members.
- Monitor and report on staff sick time, vacation time, and time off.
- Provide support for physicians and specialists to address their complaints in a timely manner and ensure consistent client satisfaction.
- Ensure outstanding billings or errors in billing are communicated to physicians and fixed as soon as possible.
- Ensure patient concerns and questions are addressed and needs are met.
- Foster a knowledgeable, friendly, and helpful atmosphere for patients.
- Ensure timely completion of OHIP and non-OHIP billings.
- Reconcile Point-of-Sale and Petty Cash, and prepare bank deposits.
- Collaborate with the Regional Clinic Manager on payroll approval, budget development, and management for financial sustainability.
- Reconcile OHIP Remittance Advice (RA) and address any necessary corrections.
- Arrange maintenance services for clinic facilities, including electrical, phone, internet, and plumbing.
- Manage inventory and procurement of supplies as required.
- Continuously evaluate and improve operational efficiency and customer service quality.
- Maintain a comprehensive understanding of the EMR system for accurate data input and quality checks.
- Ensure compliance with legal issues including, but not limited to, patient confidentiality and risk management by ensuring compliance with HIPAA, IPAC, provincial, regional, and local laws and regulations.
- Stay informed about healthcare industry trends, regulations, and advancements, and provide recommendations for relevant changes.
- Ability to supervise staff without bias.
- Previous experience with OHIP billing (ideally Accuro) and familiar with RA reconciliation.
- Previous experience working in a medical clinic, ideally a family practice clinic (minimum 2 years).
- Outstanding customer service skills & ability to consistently produce positive interactions with patients, responding to questions and concerns from patients in a professional manner.
- Good multi-tasker.
- Proficient in MS office with the ability to become proficient working with an Electronic Medical Record (preferably Accuro).
- Excellent phone and in-person demeanor and friendly, emphatic personality.
- Excellent verbal and written communication skills.
- Highly organized, detailed-oriented with strong people skills.
- Flex schedule – day, weekends and evenings.
