Job Description

Northlands College is seeking an Campus Clerk. The position is located in La Ronge, Saskatchewan and the position works on-site.


Position Summary

The Campus Centre Clerk 4 is an in-scope clerical position reporting to the Learner Services Coordinator or designate and is responsible for providing clerical support to the Campus and provide support for registration related duties.

Main Duties and Responsibilities

The Campus Clerk 4 may be assigned a diversity of duties depending on the needs of the regional office. These duties include, but are not limited to, the following:


· Screen and direct phone calls and walk-in traffic providing basic program information where possible; assist the general public and learners in completing forms (e.g. learner applications, rental agreements).

· Compose, type, proofread and edit correspondence or other documents, fax and photocopy documents.

· Coordinate the flow and distribution of Northlands College documents internally and externally, insuring they are completed in a timely manner (eg. contracts, learner attendance).

· Develop and maintain filing systems.

· Maintain a binder and electronic file of office procedures.

· Manage petty cash fund; collect and receipt revenue (eg. rent, tuition, books); make bank deposits.

· Obtain price quotes; order books and supplies; ship and receive; maintain a stock of office supplies for Northlands College faculty and staff.

· Book appointments and make travel arrangements for Northlands College faculty and staff.

· Arrange for equipment and building repairs at the learner housing; arrange relief staff for the learner housing when needed.

· Coordinate the handling of incoming and outgoing mail, freight, and faxes.

· Collect and compile research information.

· Perform data entry into Microsoft programs and other databases for admissions and registration related duties.

· Assist in identifying organizational problems and solutions and in developing forms, databases and spreadsheets that may increase efficiency.

· Maintain a system for collecting, monitoring, and processing learner application forms.

· Assist with admissions services.

· Assist with registration services.

· Set up exam invigilation.

· Take minutes at meetings as required.

· Complete fleet month-end mileage reports; ensure that regular maintenance checkups are done; schedule emergency work as required.

· Orient new staff on office procedures.

· Provide support to learners and Northlands College personnel as required.

· Provide a welcoming and helpful environment to our visitors and learners.

· Other duties as assigned.


Knowledge, Skills, and Abilities

As the main clerical support person for Northlands College faculty and staff, the Campus Clerk 4 should bring the following attributes to the position:

· advanced computer skills in word processing (e.g. tables, columns, forms, formatting letters and documents), spreadsheet software (entering data, creating basic spreadsheets), and other Microsoft programming.

· minimum 50 wpm keyboarding with 98% accuracy

· extensive knowledge of office procedures and business communication (e.g. composing letters, proofreading, and filing)

· basic bookkeeping skills (e.g. reconcile petty cash and emergency learner loan funds)

· proven ability to practice effective time management and prioritize work.

· excellent written, oral, listening, comprehensive and interpersonal communication skills.


Education and Experience

In addition to the knowledge skills and abilities listed previously, the Campus Clerk 4 typically has:

· a relevant one-year post-secondary certificate or equivalent

· at least one-year related experience
