Job Description
Position Purpose And Summary
The Athletic Event Manager will provide leadership to and assistance with the management of Spartan Athletics games, annual and special events, promotions and related administrative duties. This position will also work with “the 300” (student hype team), and will provide leadership and direction in the planning, administration and implementation of Spartan Complete Champion Camps. The ideal candidate will be an enthusiastic and energetic individual who has strong organization and administration skills, and a passion for creating exciting and professional events. This is a fixed-term maternity leave coverage role that is scheduled to end July 2024.
Key Areas of Accountability
  • Provide leadership, oversight and direction to Spartan Complete Champion Camps. Duties include but are not limited to: planning, organizing and implementation. administration details such as preparing print and digital marketing / promotional pieces, attendance, registration and waiver documentation and use of registration software, training of camp staff, budget management, day to day camp operations and logistics including supervision of camp staff, and post-camp follow-up as necessary.
  • Spartan Camps:
  • Administration:
  • Work with the Associate Director of Athletics – Operations to provide leadership and oversight of all games hosted by Spartan Athletics. Duties include but are not limited to: recruitment, training and supervision of student event staff, implementation of game-day deliverables for game sponsors, physical set-up and take-down of game day equipment and signage, game enhancement / in-game promotions, managing gate receipts and deposits, managing on-campus ticket sales and distribution, dealing with risk management issues, customer service, crowd control, and hosting of visiting teams, officials and spectators. Please note that most games happen on weekends and weekend evenings from September to March.
  • Game Operations:
  • Provide support to and meet regularly with “the 300” (student hype team) leaders to plan the logistics for upcoming events and initiatives. Assist with providing necessary resources and act as a liaison as needed between the Leader of “the 300” and other departments on campus. Ensure integration of all 300 initiatives with general game day operations for streamlined execution.
  • Assist with First Aid and CPR administration, as required.
  • Promotions:
  • Oversee the gym and field concession. Duties include but are not limited to: cleaning, ordering, stocking and tracking of inventory for regular and special events, creating and overseeing the volunteer staffing schedule and sending the weekly notices to coaches / volunteers as to their involvement, training the event staff and area supervisors in charge of concession during events along with volunteer athletes to ensure quality control and good customer service during all events, creating and implementing sales strategies and associated promotional / marketing plans and materials for revenue generation.
  • Annual and Special Events:
  • Work with the Associate Director of Athletics – Operations and the Camp and Events Manager on the advertising and promotion of Spartan Athletics events along with the assistance of student workers. Duties include but are not limited to: creation of print and digital marketing / promotional materials and advertisements, establishing and maintaining regular communication with on-campus partners such as RA’s, RD’s, CA’s, Student Life and TWUSA, maintaining promotional contact database, working with Leader of “the 300” to plan and implement student promotions and initiatives to generate fan support.
  • Work with “the 300”:
  • Provide assistance to the Associate Director of Athletics - Operations with the planning, organization and implementation of special events hosted by Spartan Athletics such as Orientation Week, the Spartan Spectacular, Athletic Awards Banquet, the Complete Champion Challenge, Academic Celebrations, Fundraiser Golf Tournaments, playoffs and other special and annual events.
  • General athletic administrative assistance and office responsibilities.

Skills And Abilities
  • Ability to answer and respond accurately and professionally to incoming phone calls, email and drop in traffic while providing a high quality of customer service and professionalism.
  • Able to use a PC for word processing and data base entries, general office equipment, game score and timing clocks, public address and sound system, familiarity with ticket software, ActiveNet registration software, Statcrew, Genius and Presto stat software, gymnasium and field lighting, heating and ventilation systems.
  • Knowledge of and ability to administer basic first aid measures and summon medical help when required.
  • Ability to do some moderate manual labour (moving & setting up event equipment etc.).
  • Strong administrative and organizational skills along with people management abilities including a pleasant, positive manner with callers and guests.
  • Ability to enforce and maintain designated safety standards and monitor all facility activities.

Education
Standards & Requirements
  • Minimum 2 years post-secondary, or equivalent work experience will be considered.
  • Current First Aid and CPR certification, experience and knowledge pertaining to event management, sports camps and facility equipment.
  • University undergraduate degree minimum, master’s degree preferred.
Experience
  • Two to three years previous experience in athletic event management and promotions and sports camp management.
