Job Summary


Reporting to the Senior Manager, Geering Up & Outreach, the Assistant Manager, the Assistant Manager, Indigenous Outreach leads the implementation of accessible outreach programming through administration, operational planning, communications, and strategic plan. Key duties include managing relationships with up to 35 community partners (including 25 Indigenous communities), overseeing a program budget of $500,000, serving 2000 youth annually and seeking out opportunities for program growth. The Assistant Manager, Indigenous Outreach also supports with Geering Up’s overall Equity, Diversity and Inclusion initiatives.


Organizational Status


BC Geering Up Engineering Outreach is the flagship outreach program of the University of British Columbia's Faculty of Applied Science and a key part of Applied Science's diversity and community engagement strategies. Geering Outreach Programs promote science, engineering, math, and technology to children and youth in British Columbia through fun, innovative hands-on experiments and projects. In alignment with Applied Science's goal of student recruitment, Geering Up strives to reach all children and youth, regardless of gender, ethnicity, culture or socio-economic status, with special outreach for those groups traditionally underrepresented in science and engineering. Geering Up provides valuable work experience to its employees, and enriches the university and community. Geering Up Outreach Programs are well-established with a 25-year history, and a large returning clientele that grows every year.


Due to the nature of the work, vacations are limited during the months of May-June; and are restricted in July and August. Working hours will be typically Monday to Friday and will reflect operational hours as required. Ability to travel to other locations in BC and other remote work locations as required.


Work Performed


Operational planning and management


  • Maintain a positive, healthy, and safe work environment that encourages diversity and people engagement.
  • Maintain a performance management process, in alignment with UBC policies and practices and in collaboration with APSC HR, for all programs which includes monitoring, coaching, and mentoring staff on an on-going basis and conducting performance reviews.
  • Develop staff training initiatives to ensure effective orientation, team building, ongoing development and retention of staff.
  • Responsible for full-cycle recruitment of Geering Up InSTEM student staff, interns and volunteers. Identifies staffing requirements, schedules and conducts interviews, writes offer letters and manages performance and development of staff; liaising with APSC Human Resources and the Senior Manager, Geering Up & Outreach as needed.
  • Create systems for the Geering Up InSTEM team to facilitate delivery of Indigenous Outreach programs across BC through a team of over 25 student staff annually delivering 50,000 hours of face-to-face programming.
  • Review and resource training for Geering Up outreach staff including Indigenous cultural sensitivity, the history of Indian Residential Schools, Anti-Racism and other Equity and Inclusion concepts.
  • Responsible for the planning, implementation and evaluation of the Geering Up Outreach programs and services.
  • Develop, implement and evaluate administrative policies, procedures, and practices for the efficient operation and administration of Geering Up InSTEM Programs.
  • Develop and grow accessible programming for Black youth, youth with disabilities, new immigrants etc through partnership with community organizations.
  • Oversee Geering Up Outreach Programs, ensuring that its work aligns with the mandate and mission of the Geering Up organization as a whole, Applied Science, and the UBC Indigenous Strategic Plan.
  • Responsible for the hiring, training, supervision, performance management, discipline and termination of direct reports working with APSC Human Resources when required. Provides oversight to indirect reports.
  • Manage an annual budget of $500,000 for the Geering Up Outreach Programs; plan and implement cost saving measures and prepare monthly reports on budget health for the Manager, Geering Up Outreach and Administration.


Leadership of Administrative Program Unit


  • Responsible for the communication, marketing and promotion of the InSTEM programs.
  • Develop and implement the Indigenous engagement strategy, development materials that reach education leaders and families across BC.


Research & Development


  • Facilitate research on Indigenous Outreach and Indigenization of STEM curriculum with support from the APSC Indigenous Engagement Committee and associated faculty.
  • Support with Geering Up government grant applications as needed.
  • Support sponsorship development and grant writing. This includes meeting with the development team staff, sourcing information to support in the writing of applications, submitting applications for sponsorship, providing follow-up information and communicating updates with community partners.”
  • Assess suitability of prospective partners and sponsors for InSTEM programs based on partner community needs and sensitivities.


Community Relations & Advocacy


  • Identify opportunities to establish new working relationships and collaborations to support the strategic plan and goals of Geering Up InSTEM.
  • Develop and maintain current working relationships and collaborative arrangements with a variety of organizations to help achieve the goals of Geering Up InSTEM. Current groups include: BIPOC community leaders, education leaders, band members, principals, STEM non-profit leaders, Actua, and BC Ministry of Education staff.


Risk Management


  • In collaboration with the APSC Safety and Facilities Officer, develops and implements policies that ensure the safety and wellbeing of all participants including risk mitigation tools for wilderness education, vehicle management, remote travel, forest fires, cultural sensitivity, staff well-being and mental health, and working alone procedures.
  • Review and evaluate policies on a regular basis to ensure effectiveness and alignment with University policies and practices.


Consequence of Error/Judgement


Decisions made create legal and financial liabilities for the Geering Up Outreach Program, UBC Faculty of Applied Science and UBC, and affect the reputation of them within the academic and the surrounding community. Errors in decisions can adversely affect the UBC Faculty of Applied Science's and the UBC's interests in each of these respects. Safety and security of persons and projects with Geering Up is a primary responsibility of this position.


Supervision Received


Reports to the Manager, Geering Up, Outreach and Administration.


Supervision Given


Manages staff and is responsible for hiring, discipline, evaluation, and termination. Consults with APSC HR on HR matters including compensation, performance management and development, recruitment practices and termination of employees. Directly supervises the Geering Up Indigenous Outreach Coordinator, Geering Up Indigenous Outreach Research Assistant, and Program Assistants (student employees). May supervise one clerical unionized employee. Provides oversight to indirect reports including (approx 150) student employees and volunteers across remote work sites.


Minimum Qualifications


Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.


Preferred Qualifications


The ideal candidate is a diplomatic multi-tasker with excellent judgement, broad communications skills and is strategically-minded. Working largely autonomously, the incumbent will deliver on yearly outreach targets, and will develop and supervise outreach programs, bringing with them an understanding of, and experience with, pedagogy for supporting diversity and positive classrooms. Experience in the STEM outreach ecosystem is a strong benefit. Detailed knowledge of the operation of an Actua outreach program is required. Cultural competency in working with Indigenous populations. Well-established networks with Indigenous communities is an asset, preference may be given to applicants who have past experience working with Indigenous communities. Proven ability to work independently, in problem solving, and managing multiple projects. Superior communication and interpersonal skills. Ability to perform financial planning functions. Ability to communicate effectively with the media and public relations agencies. Ability to conduct needs analyses, plan, organize, manage, monitor, complete, and evaluate projects within allocated time and resources. Authentic leadership with demonstrated ability to oversee and collaborate with staff. Exceptional relationship building and team-building skills. Ability to interface with and engage diverse volunteer, educators, and community partners. Ability to work flexible hours. Capacity to work calmly under pressure. Experience in outreach program delivery, event planning, training, STEM pedagogy are all desirable.
