Job Description

As a Swift Assistant, you will play a crucial role in supporting the daily operations of our office and team. You will assist in a wide range of tasks that ensure the smooth functioning of our business. Your responsibilities will include but are not limited to:


**Responsibilities:**


1. **Office Support:**

- Maintain a well-organized and efficient office environment.

- Manage and order office supplies and equipment as needed.

- Assist in coordinating and scheduling meetings and appointments.

- Handle incoming and outgoing mail and packages.


2. **Administrative Tasks:**

- Help with administrative duties such as data entry, filing, and record-keeping.

- Prepare and edit documents, reports, and presentations.

- Handle basic bookkeeping tasks as assigned.

3. **Communication:**

- Respond to emails and phone inquiries professionally and promptly.

- Assist in managing communication with team members, clients, and partners.

4. **Calendar Management:**

- Help manage team calendars, scheduling calls, meetings, and appointments.

- Ensure all schedules are up-to-date and conflicts are resolved.

5. **Team Support:**

- Provide support to team members as needed.

- Assist in organizing team events, outings, and activities.

- Collaborate on special projects and initiatives.


6. **Problem Solving:**

- Assist in resolving day-to-day operational challenges.

- Identify opportunities for process improvement and contribute ideas for enhanced efficiency.


**Qualifications:**


- High school diploma or equivalent; additional education or certification in office management is a plus.

- Strong organizational and multitasking skills.

- Excellent communication and interpersonal abilities.

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to adapt to a fast-paced and dynamic work environment.

- Strong attention to detail and accuracy.

- Previous office administration experience is preferred but not required.
