Academic Advising Job Duties And Responsibilities

Post-secondary education, a minimum of a Certificate or Diploma equivalence

Minimum of 3 years work experience working in a similar role

Strong prioritization, time management, and follow-through skills

Experience with Salesforce (Customer Relation Management system) and Banner mainframe database system.

Industry experience related to one or more programs offered

Strong technological skills and experience using various software, programs, and tools

Actively manage an active enrolled caseload of students from point of admission through program completion.

Monitor, manage and report on portfolio of advisees using required processes and technology platforms.

Academic Upgrading as well as Alberta Education graduation requirements and pathways to post-secondary programs.

Strong familiarity with Alberta Education graduation requirements

5+ years of related advising and student support experience in a foundational post-secondary environment.

Excellent communication and interpersonal skills.

Excellent critical thinking and problem-solving skills.

Proficient knowledge of computer systems, including PeopleSoft and Microsoft Office.

1 to 3 years’ experience in academic advising, mentoring, student counselling, development, and education.

Administrative experience in a post-secondary educational setting

Experience in Microsoft Office applications, Outlook email.

Strong oral and written communication skills

Meet with students from various programs to plan for upcoming semesters and academic schedules.

Assist students in planning a program consistent with their strengths and goals.

A minimum of three years’ experience assessing and advising clients in an educational or social and community services environment is required.

Two-year diploma or degree in a field related to education, counseling, or social and community services.

Experience working with diverse student populations, including adult learners and individuals with various academic backgrounds.

Strong interpersonal and communication skills, with the ability to establish rapport and build trusting relationships with students.

Knowledge of academic advising principles and best practices in student success strategies.

Minimum postsecondary degree in Education or related field

Exceptional organizational skills with the ability to multi-task and set priorities while keeping close attention to detail

Superior oral and written communication, interpersonal and relationship-building skills

Outstanding proofreading skills for all functions related to admission of applicants to MD Program and review of MSPRs

Oversees and directs the archiving of student files

Responsible for coordinating and organizing all aspects of the annual awards breakfast

Responsible for maintaining current knowledge of the university calendar, degree program requirements, deadlines, procedures, regulations for course overloads, etc.

Maintain up-to-date knowledge of sponsorship, OSAP, and scholarship eligibility requirements in relation to advising (e.g. course load requirements).

Promote International Programming Education course registration.

Create and promote internal awareness of student satisfaction and the importance of service to students, including the annual student satisfaction/experience survey.

Responsible for budget tracking outlined by the Manager.

One certification in Mental Health response training (Nonviolent crisis intervention training, ASIST, MHFA, SafeTalk, or equivalent) is required.

Good understanding of the challenges for students transitioning to post-secondary education, and experience working with Indigenous students.

Process applications for program admission from inquiry to decision stage. Ensure completeness of required information, ensuring program admission requirements are met.

Review the satisfying of degree requirements, academic standing, and the acceptability of exchange and/or transfer credit.

Twelve months of experience in student academic advising.

A good understanding and /or lived Indigenous experience.

Support the operations of admission processes and maintenance of accurate student records ensuring deadlines are met.

Experience with PeopleSoft (Campus Solutions) and file management systems an asset.

Minimum completion of post-secondary education, University degree preferred (equivalent combination of education and experience may be considered).

Experience with student administration system technology in a post-secondary environment e.g. PeopleSoft(Campus Solutions), Slate, Academic Advisement Requirements Tool, and Alfresco

Proficiency in Microsoft Office, Google Suite and file management systems.

Evaluates and makes decisions on applications for admission ensuring program admission requirements are met.

Assists students in making academic decisions such as course selection, building timetables and using online registration systems, degree requirements

Significant* experience providing strategic and recommendations in planning and conducting cost benefit analyses and risk management considerations of research facilities;

Advanced knowledge of risk management principles and practices as well as an understanding of life cycle portfolio management;

Knowledge or experience with case management would be an asset

An equivalent combination of education and/or experience may be considered; preference will be given to applicants meeting the education requirements

Minimum of 3 years’ of practical experience advising students, preferably in a post-secondary educational setting

Bachelor of Education or a post-secondary 3-year diploma/degree in a related field such as Education, Student Affair/Services or Counselling Techniques

Master’s degree in Education, Student Affairs/Services or similar would be an asset

Working knowledge of student academic and personal advising theories, approaches and best practices

Identifying extra-curricular activities to enhance students' academic experience.

Conducting periodic check-ins with international students and host families to assess their experiences and make any necessary adjustments.

Completes convocation clearing for graduates to ensure full degree requirements are met.

Reviews academic record to ensure program requirements and academic standing are met.

Liaises directly with transfer institution program advisors regarding; program and course changes; transfer credit; and admission requirements.

Maintain current knowledge of academic advising standards and best practise to serve a diverse population of student

Contributes to the review of academic performance of all BASc undergraduate students to ensure they meet promotion, continuation, and graduation requirements

Trains new Faculty and Staff with responsibilities for advising on advising handbook, intranet site, and other resources as required

Investigates and resolves inquiries from other campus units and faculties

Interprets and applies university and faculty policies in relation to individual student programs, proposes exceptions where appropriate

Experience teaching undergraduate education courses, including serving as a teaching assistant.

Strong organization and communication skills.
