Our Markham office is seeking an Administrator who enjoys maintaining organization for themselves and others, possesses outstanding customer service abilities, adeptly handles multiple priorities in a fast-paced setting, and remains composed under pressure. The Administrator will be enthusiastic about fostering a positive work environment, highly driven, and eager to enhance the productivity of both technical and operational staff through a diverse range of administrative responsibilities. Reporting directly to the Office Facilitator, they will play a vital role in contributing to the office's success.
Responsibilities
  • Administrative support: Coordinate with building management and security, arrange parking assignments, and office access requirements.
  • Coordinating purchasing of specialty and bulk items as requested by Business units.
  • Actively support digitization and management of business documents.
  • Participate in planning and coordination of office events.
  • Develop a basic understanding of the office’s services and clients to facilitate front line discussion with office guests and callers while also respecting privileged details.
  • Facilities maintenance: Maintain a professional appearance in all office common areas such as the reception area, conference rooms, and coffee stations through light housekeeping.
  • Assist with the management, maintenance, and ordering all office supplies & catering requests.
  • Coordinate records management including off site storage.
  • Coordinate regular repairs and maintenance of office facilities.
  • Sundry duties as assigned by the Office Facilitator, Team Lead, and Director of Workplace Experience.
  • Accounting: process invoices for approval, coordinate payment with the finance department, and submits chargeback and Visa logs.
  • Provide administrative support to Business Units as requested.
  • Maintain office floor plans and seat assignments.
  • Ensure physical security practices are followed with keys, access cards mail tracking and clean desk policy.
  • Reception coverage: route calls, greet guests, manage couriers and mail, provide phone coverage for other offices.
Qualifications
  • Successfully multi-task, take initiative and meet deadlines while retaining a positive and balanced disposition in a fast-paced environment with shifting priorities.
  • Must exhibit the capacity to apply ration and prudent judgment.
  • Maintain discretion, professionalism, and confidentiality at all times.
  • Embrace teamwork while possessing the ability to work independently.
  • Minimum of 1 year experience in administrative support, customer service, and/or hospitality.
  • The capability to effectively solve problems and prioritize tasks.
  • Superb customer-focused attitude and attention to detail.
  • Proven intermediate skills in all areas of Microsoft Suite (Word, Excel, Outlook, PowerPoint, Teams)
  • Excellent oral and written communication skills.
  • Must be punctual, reliable, and able to work at our office.
