We are currently seeking experienced candidates for the position of Project Manager. The CSU Chancellor's Office, located on the waterfront adjacent to the Aquarium of the Pacific in downtown Long Beach, is the headquarters for the nation's largest and most diverse system of higher education. Salary


The salary range for this classification is $3,750 to $11,146 per month.


The anticipated salary hiring range is up to $6,250 per month, commensurate with qualifications and experience.

Position Information


The California State University, Office of the Chancellor, is seeking a Project Manager to own the workflow and process implementation against assigned projects, initiatives, and/or clients, specifically with the ASA team. The PM manages production and project workflow by implementing and facilitating the overarching department project process(es), helping various team members and units throughout the department synergize in their collective efforts. This position is designed to help the team and department operate in a more defined, predictable, efficient and effective workflow. This will result in even more thoughtful, effective and strategic work with minimal downtime and better planning, as well as executions.


Responsibilities


This position is long-term temporary with benefits.


Under the general direction of the Director of Production, the Project Manager will:


  • Collaborates with team to identify process roadblocks and create solutions to improve productivity.
  • Ensures team assigned have each performed their due diligence as it applies to QC, as outlined in process workflow. Provides direction on quality control and keeps staff and leadership abreast of quality control issues and resolutions.
  • Works collaboratively with all Marketing staff, including CO clients, on all aspects of assigned projects from concept to execution.
  • Works closely with marketing leads; tracks and obtains approvals from clients for copy, design comps, and printer’s proofs; manages process to meet deadlines.
  • Manage production and project workflow of assigned projects by implementing and facilitating the overarching department project process(es), helping various team members and units throughout the department synergize in their collective efforts, ultimately owning the success of each project.
  • Monitors and maintains organizational standards to ensure quality control of individual projects and initiatives. Performs quality assurance review of all staff submissions for adherence to project objectives, brand guidelines, and other mandatories.
  • Tracking, routing, coordinating with any assigned Print Services related projects, that are developed by the marketing Department. This does not include materials developed outside marketing.
  • Coordinating with photographers, videographers, external vendors as needed to occasionally assume the role of “producer” for various assigned projects as required.
  • Working with director of production, and reinforcing policy standards and designed/defined workflow, utilizes and maintains departmental server structure and space, including file organization via job numbers and file naming conventions. Ensures linkage to other production related tools (e.g., Workzone). Archives jobs when complete allowing for easy retrieval. Unarchives projects as requested from various department partners.
  • Estimate projects with external vendors as needed; and follow the project with the vendor through completion.
  • Understand the project/initiative and all that it entails. This role helps define and understand the total Scope of Work involved. Not only the key milestones from a client perspective, but all that goes into it behind the scenes (all the various steps along the project journey). This total, more complete picture is reflected into the project schedule/mapping ensuring projects are complete by assigned deadline.
  • Works closely with applicable and assigned team to ensure exact specifications and requirements are clearly communicated and executed including assuring QC.
  • Mindful of workflow and process, works with stakeholders (internally and externally) to set project expectations, scope, timelines, and schedules for individual projects, while understanding and monitoring department resources and capacities. Also ensures team assigned is clear on objectives and project goals. This includes building in adequate time for quality control, proofing, color corrections, retouching, and outlining expectations on project brief the Quality Assurance / Quality Control standards.
  • Manage trafficking of projects within the department (from unit to unit) and at key milestones in coordination with Marketing point people. This includes mapping schedules and timelines, as well as clearly articulating what type of feedback is needed, when it is needed, and how to communicate it with the team to ensure deadlines are met. This includes setting up marketing points to clients and CO stakeholders for review, input, awareness, and approval.
  • Has a general understanding and awareness of overall workload within the team to better understand capacity issues and be able to gauge timing on new project requests.
  • Recognize when projects may be going off the rails, and/or are and why. Understand how the PM is empowered to rectify, but also raise awareness for transparency, but elevate, when necessary, through the appropriate channels, minimizing fall out.
  • Mindful of capacity, and working with Unit Directors, helps make staff assignments or reassignments to facilitate timely and effective completion of projects. Manages the processes and workflow of department staff against defined schedules and key milestones.
  • Establishes collaborative relationships with department staff, of all units, including but not limited to: designers, writers, marketers, developers, and administrators to ensure that production goals are met.
  • Other duties, as assigned.


Qualifications


This position requires:


  • 2+ years’ experience working with Adobe Acrobat required.
  • Multiple years working with an enterprise workflow model.
  • Multiple years’ experience working with job tracking and project management software/tools.
  • Bachelor's degree in Marketing or comparable field or equivalent years of education and/or work experience preferred.
  • 4+ years project management required.


Preferred Qualifications


  • Thorough knowledge of working with an established brand and the application of graphic standards.
  • Attention to detail, customer-service orientation, and creativity in problem-solving required.
  • Demonstrates ability to use effective communication and active listening skills to support management.
  • Strong time management skills and ability to focus on multiple projects with competing deadlines.
  • Understanding of social media and video standards preferred.
  • A practical understanding of accessible communications preferred; Section 508, WCAG 2.0 and/ or CSU-ATI facility is highly desirable.
  • Experience managing video projects; collaborating with videographers and editors.
  • Knowledge of different types of digital deliverables.
  • Adept at working collaboratively as part of a large or small team as well as independently; ability to be highly responsive and adaptable to management.
  • Experience with SharePoint preferred.
  • Demonstrated ability to work productively in a highly collaborative, diverse work environment.
  • Excellent communication (oral and written), interpersonal, organizational, and presentation skills.
