Job Description

Title: Executive Assistant

Position reports to: Executive Vice President

Location: Vancouver, BC

Duration: 6 months contract to hire


Summary:

The Executive Assistant will provide a full range of administrative support for several executives within organization.


:

  • Prepare for presentations
  • Extensive meeting coordination including event planning.
  • Enter and approve any timecards for direct reports
  • Organize travel arrangements for a variety of executive staff
  • Other general administrative duties (processing mail, copying, etc.)
  • Generate ad hoc reports
  • Process and file expense reports, and pre-approve expenses for direct reports
  • Work alongside and coordinate with several departments within the organization
  • Draft, edit, distribute and follow-up on documents and correspondence
  • Schedule, prepare and take notes for meetings across multiple calendars
  • Direct and gatekeep phone calls
  • Additional administrative duties as required
  • Manage document flow, including creating and maintaining files (electronic)
  • Manage multiple special projects


Job Requirements:

  • 3-5 years' experience as an Executive Assistant or similar
  • Strong computer skills (Google Suite, Microsoft Word, Excel, Outlook and
  • Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
  • Excellent communication skills – written and oral (must have a professional and courteous demeanor)
  • Common sense, dependability and attention to detail are required
  • PowerPoint)  Exceptional organizational and interpersonal skills
  • Utmost discretion for highly confidential information
  • Exceptionally professional, organized and detail oriented; demonstrated ability to organize time, manage diverse activities and meet deadlines  Able to work independently and work cooperatively in a team setting
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Must be a self-starter with a team-player attitude
  • Knowledge of principles and practices of the office organization, planning, records management and general administration
