Responsibilities
- Review and update internal telephone directory and floor plans
- Coordinating and preparing projects for printing, including electronic file conversion, document scanning and enhancement from start to delivery
- Reconcile staff monthly parking invoices
- Perform administrative support tasks (such as filing, cheque deposits, etc.)
- Onsite building liaison
- Answers, screen and direct all incoming calls on a switchboard
- Courteously meet and welcome customers and general members of the public
- Coordinate and manage facility requests (onboarding/offboarding, desk repairs, nameplates, office coordinator, maintaining vendor spreadsheet)
- Responsible for meeting room schedules and meeting support (AV assistance)
- Order Office Supplies including maintaining supply rooms
- Update Welcome Board/Story Board
- Assist visitors with sign in and access cards including reconciliation of access cards
- Sorting and distribution of mail and office supplies, including interoffice, couriers, virtual mail and overnight mail
- Minimum 1-2 years of experience working in a reception, switchboard, or administrative position
- Prior facilities experience is a plus
- High School Diploma or equivalent experience
- Excellent communication skills both verbal and written
- Ability to work independently, manage their time efficiently and with limited supervision
- Effective use of Microsoft Office
- Strong self-motivation to drive results
- Ability to regularly lift and push objects up to 30-50 lbs
- Excellent interpersonal skills with the ability to quickly develop business relationships
