What does your day at GIP look like?

GIP Construction and Materials Limited ("GCML") is looking for a Estimating Coordinator. Reporting to the Estimating Manager, the Estimating Coordinator will be responsible for supporting the Estimating and Operations teams in the successful preparation of competitive bids on various construction projects across the province of Ontario. The successful candidate will be a part of a fast-paced environment where a collaborative, multi-tasking approach and high attention to detail will be essential to the success of the team.

  • Assist with pre-qualifications, expression of interests’ and RFP’s.
  • Order WSIB certificates and CVOR upon expiry, file electronically, and distribute.
  • Organize, log, distribute and save bid inquiries and addenda.
  • Update project & insurance tracking spreadsheets.
  • Submission of MTO tenders on RAQS/MERX, including submission of TRF’s, Summary Bid Submission Forms, and Itemized Bid Forms.
  • Other duties as assigned.
  • Distribution of the tender results internally and to the bonding company.
  • Collaborate with Contracts Manager for the Notice of Project.
  • Facilitate dry-runs with the estimator prior to Tender closing to ensure all information is accurate.
  • Coordinate and assist with the Bonding/Insurance request forms with the estimators and Bonding company.
  • Preparation, coding, processing, distribution, tracking, and filing of subcontracts and related documents.
  • Prepare and update resumes of key personnel.
  • Maintain Tender list and Hard Dollar files with changes as required.
  • Enter Tender items into Excel to allow for easy upload it into the Hard Dollar estimating program.
  • Prepare tenders for submission including but not limited to: coordination of signatures, org charts, resumes, project experience, bonding, CAD reports, WSIB certificates, etc.
  • Process Contracts on awarded Tenders.
  • Preparation of statutory declarations/WSIB for all monthly progress payments.
  • Order and print tender documents, upload tenders to the internal shared drive and execute printed copies.
  • Writing in Tender pricing by hand or entering unit prices via Bids & Tenders for non-MTO tenders.

  • Strong time management skills.
  • Ability to work well with others as a team.
  • Knowledge of the following bidding systems: RAQs, Bids & Tenders, Biddingo, MERX, Metrolinx, Bonfire is an asset.
  • Post-secondary education or professional equivalent experiences.
  • Capable of reading and understanding Tender document requirements.
  • Analytical skills.
  • Strong computer skills – working knowledge of Microsoft Software including: Teams, Outlook, Word (specifically formatting) and Excel.
  • Ability to work accurately and remain calm under pressure.
  • Strong communication skills – oral and written.
  • Industry experience preferred.
  • Highly organized and strong attention to detail.
  • Ability to follow process and respond/adapt to change.
  • Results oriented.
  • Multi-task oriented.
