This position is a hybrid work model requiring at least 3 days on site in Milton and up to 2 days per week remote.


Position Overview


The HR Payroll Coordinator is the systems and payroll point of contact for all Ontario employees. This role requires a high attention to detail and ability to work independently. Additionally, this role supports event planning, internal communications, and employee onboarding. Reporting to the Human Resources Manager, the HR Payroll Coordinator is responsible for:


  • Maintains HR files and records for all Ontario division employees
  • Assists with coordinating details, logistics, communication and execution of various company events including, but not limited to; Divisional social events, training, wellness, orientation, open enrollment, and other divisional HR events
  • Participates in planning and implementation of special projects related to payroll and HR including distribution of tax forms, RRSP enrollments, etc.
  • Supports various aspects of onboarding process which includes storing of documentation, assisting in preparing of new hires files and processing new hire paperwork
  • First point of contact for all payroll inquiries, issues and concerns, HRIS management, and files for all Ontario division employees
  • Assisting in execution of the Ontario HR communication strategy, including but not limited to; articles, maintenance of all internal communication boards, email correspondence to employees, wellness communication, and company newsletter
  • Maintaining accurate data input into the HRIS system (Workday) in collaboration with the payroll department
  • Performs other duties and projects as assigned
  • Crafts employment letters and verifies employment details for current and previous employees
  • Data validation within UKG (Kronos), Onbase, and internal systems
  • Schedules meetings, assists with and directs incoming questions from employee's
  • Administrative support for the HR leadership team
  • Produces weekly, monthly , and ad-hoc HR reports

Experience & Qualifications


Post-Secondary education is required. Preferably HR and/or communications background


  • Knowledge of HR regulations and guidelines preferred.
  • Workday HRIS experience is an asset.
  • UKG (Kronos) experience an asset
  • Minimum 2 to 3 years previous payroll/data entry/administrative experience or an equivalent combination of education, training, and experience.
